Our Singapore Charity Tech Journey: From Pre-COVID to Today

Time flies! Since 2019, we’ve implemented more than 100 projects for charities across Singapore. These range from:

  • Volunteer coordination platforms
  • Donor management databases
  • Event management tools
  • Attendance tracking solutions
  • Data analytics dashboards
  • AI-powered omni-channel communications
  • Chatbots for beneficiary support
  • WhatsApp integration for outreach

And this journey began before COVID-19 changed everything about how we work and connect.

Why I Started This Mission: A Personal Story

My path to founding Octopus8 wasn’t what you might expect. I was working as a senior manager at a multinational logistics company, helping them set up systems, recruit talent, and improve operations. We successfully implemented projects for US-listed technology companies and Singapore government agencies, achieving 100% on-time implementation and earning best manager and team awards.

During this corporate chapter of my life, I had the chance to work with charities to place seniors and persons with disabilities in meaningful roles. What I witnessed changed me forever—seeing how a good job transformed lives, providing hope, dignity, independence, and the ability to contribute to society.

But I knew I needed more autonomy to create a broader impact.

The Shocking Reality of Charity Technology in Singapore

Through conversations with charity leaders, I discovered something that genuinely shocked me—most weren’t using any CRM or proper systems to manage their beneficiaries. Many had only basic volunteer coordination and rudimentary donor management processes.

Let that sink in: Organizations dedicated to changing lives were using spreadsheets and paper to track their impact!

This revelation sparked a question that wouldn’t leave me alone: what if we could provide effective technology systems specifically designed for the social sector?

Pursuing the Vision Despite the Warnings

I pursued this vision despite numerous warnings about the challenges ahead:

  • “The charity sector is too fragmented”
  • “Non-profits don’t understand technology”
  • “Change management with traditional mindsets is nearly impossible”
  • “There’s not enough financial support for digital transformation”

Even with major technology companies offering free software, charities weren’t embracing digital solutions.

We kept asking ourselves: “With all these resources available, why aren’t charities using technology effectively?”

Taking the First Steps

With seed funding from raiSE (Centre for Social Enterprise) https://www.raise.sg/ventureforgood.html, we developed our initial system to provide three essential pillars for any charity:

  1. Case management for beneficiaries
  2. Volunteer coordination
  3. Donor relationship management

Little did we know that COVID-19 would soon transform everything—both our business approach and the entire charity sector’s attitude toward digitalization.

What We’ve Learned About Charity Tech Adoption in Singapore

Through our journey of implementing over 100 charity technology projects in Singapore, we’ve discovered that successful digital transformation isn’t just about the technology itself. It requires:

  1. Understanding the unique context of each charity’s work and beneficiaries
  2. Building systems that match existing workflows rather than forcing new ones
  3. Providing continuous support and training to build confidence
  4. Creating solutions that grow with the organization’s needs
  5. Demonstrating tangible impact on the charity’s core mission
